To plan and organise we hold meetings every Monday night at 6pm (or Tuesday if the Monday is a bank holiday). All are explained below. And all are on the public programme as events.


First Monday of the month is either an Open Meeting or a General Meeting.

Second Monday of the month is Open Programming.

Third Monday of the month is Caretaking of the Building and Volunteers.

Fourth Monday of the month is Programming Development.

Fifth Monday (rarely happens) of the month is Programming Development Special




There are seven of these in they year. Dates Below. 

Open Night. Everyone Come,Talk and Listen. 

Bar will be open.

Collectives, working groups and individuals will give an update on what they have been up to the past month.

Learn about what is going on in all areas of the cinema.

Assess who needs a helping hand.

Members of the public are encouraged to come too. 

Open Meetings are scheduled for 7 Mondays in the year as below.

Tuesday 7th May 2019 at 6pm

Monday 1st July 2019 at 6pm

Monday 2nd September 2019 at 6pm

Monday 4th November 2019 at 6pm

Monday 6thy January 2020 at 6pm

Monday 3rd February 2020 at 6pm



Third Monday of the month. 

Looking after the building and car park: Maintenance, purchasing materials, actioning repairs, overseeing contractors, proposing changes of use. 

Look at issues across the organisation: bar, café, finance, programming, technical, training, policies and volunteers.

Discuss agenda items for the General Meeting / Sovereign Body Meeting coming up.



Second Monday of the month.

Come and propose an event Open call to all prospective programmers. Please have this form filled out in advance of the meeting. https://starandshadow.org.uk/participate-menu/propose1/



The fourth Monday of the month. They will:

deal more with conflicts and technical issues ahead of crisis,
create space to allow development of ideas,
long term planning,
processing diary issues,
supporting programmers,
discuss cultural gaps in the programme.

New events can be proposed at this meeting but the above scheduled agenda items will get priority. 

The ideal place for new event proposals is the Open Programming Meeting which takes place on the second Monday of the month.



General Meetings are legally defined as the Sovereign Body or The Boss of the organisation where major decisions are made and polices are adopted. There are four per annum. Dates are below.

Most issues can be sorted at our other meetings or in the day-to-day working groups but some will need to go through the official process of a General Meeting.

Agenda items for a General Meeting (GM) must be circulated at least two weeks in advance of the GM to the volunteer email list. With back up explanations of what is going to be voted on.

They must also be proposed, described and debated at previous Open and Caretaking meetings and/or in working groups in advance of the 2 weeks notice going out.

Only co-op members (class 1 members) can vote at a General Meeting.

Examples of items that need GM approval might be:

Anything with major legal ramifications.

Anything with major financial ramifications.

Change of use of the building inside and outside.

New tenancies.

New policies.

Change of old policies.

There will be others.

General Meetings are held 4 times per annum.

Dates for the coming year are;

Monday 3rd June, 2019 at 6pm.

Monday 7th October, 2019 at 6pm.

Monday 2nd December, 2019 at 6pm

Monday 2nd March, 2020 at 6pm.



On the occasion of a 5th Monday in the month we use it to sort out more programming issues.

Monday 27th July  2019

Monday 30th September 2019

Monday 30th March 2020


These meetings are often long, and are facilitated according to a consensus decision making process.  People are asked to put their hands up to contribute, think twice about speaking unless it is a useful contribution, and above all listen with patience and respect, particularly to those who don't normally speak.
