PRIVACY POLICY

The Star and Shadow is deeply committed to protecting your personal information.  We never have nor ever would sell, trade or otherwise share your data.

This is our current policy which is GDPR compliant. From time to time we will amend this policy and update it as needed. Changes would be done collectively and as a member of Star and Shadow, you are welcome to be a part of the dialogue and the process. Please be in touch if you would like to take a more active role in our policy making process. We may email you about changes to this and all of our governing policies.

We collect personal data four ways in the operation of Star and Shadow

1)     Through the use of our website
2)     Through membership
3)     Through email list servers
4)     Via visits to our venue

1) Our website:
When you visit our web site, the web server logs your IP addresses, the time and date of your visit, the pages that were requested, the referring website (if provided) and your internet browser version.  The raw web server logs are automatically deleted after 4 weeks.

The Star and Shadow does not use Google Analytics which is a conscious decision to opt out of excessive third-party monitoring. Our web traffic is analysed by the open-source web analytics platform Matomo (formerly known as Piwik), hosted by xtreamlab.net. For more details, please consult Matomo's privacy policy.

Pages for individual events on our web site often contain embedded content from 3rd party service providers like youtube, vimeo, soundcloud etc. We are not able to control what happens when you enter other sites as you will be operating under their policies and within their servers and networks.

2) Membership
We are a member owned and run cooperative. Anyone is able to become a member of our venue, and, after 3 months of volunteering, a member of our cooperative.  All members provide their names, email addresses and phone numbers. Our membership roster is held on a secure server with access protected by passwords. The passwords are only shared with our administrators and membership secretary and are not accessible by other volunteers or outside entities. We will not share your personal information internally or externally and only contact you using the means you request.

You are able to see any data we hold and request it to be removed from our membership roster at any point. Please email info@starandshadow.org.uk.



3) Email list servers
We have multiple email lists that allow our volunteers and visitors to engage with Star and Shadow at varying levels which are self chosen. All members of the lists can email the list and engage in dialogue, with the exception of the main news list.  This open, dialogic approach is central to who we are and how we operate. We are aware that not all members choose to engage in on-line dialogue so we have multiple ways to communicate and be an active member of our community. List membership is not mandatory for our members – anyone can opt out of this mode of dialogue at any time through unsubscribing.

The lists are managed my Simple List with each individual user able to subscribe or unsubscribe to any list at anytime. Simple List operates under its own data protection policy that is GDRP compliant. Please follow this link if interested in reading it https://www.simplelists.com/contact.php

4) Visits to our venue

When you visit Star and Shadow you may choose to provide your name and contact information for purposes of safeguarding and venue/site safety. Any physical material containing data you give to us is stored in a locked cabinet and only accessible when audited or needed in case of an emergency.


How we use the Data

We use your email address in exactly the ways you consent for it to be used and for no other reason. We will only contact you in the way you request using the information you choose to share with us.

Any use of data for analysing our visitor and membership numbers and demographics for research, grant monitoring, future fundraising and other reason will be done using depersonalised data; your name and contact information will not be used. We are committed to keeping you and your information safe.

You have the right to see the your data at any time and to have it removed from our databases by contacting us at info@starandshadow.org.uk.

As a member of Star and Shadow you are welcome to suggest changes to this policy and be involved in our policy making collective. Please email us if you would like to be a part of this process.
